Job Summary: The Chanler at Cliff Walk, Newport’s only Forbes Five Star hotel property and restaurant, along with two Michelin Keys, is seeking a talented and organized Luxury Event Manager to join our award-winning team. In this role, you will be responsible for planning and executing all on-site private events with a focus on destination weddings, ensuring that every detail is meticulously coordinated and managed to create extraordinary experiences for our clients. As a Luxury Event Manager, you will coordinate every aspect of The Chanler's guest experience, including guest room management and food and beverage services for various events such as weddings, corporate events, and meetings, covering everything from menu planning to logistics. You will collaborate closely with the team to ensure customer satisfaction and maintain profitability. A Luxury Event Manager achieves customer satisfaction by working closely with clients to understand their needs and preferences, coordinating with other departments to ensure seamless execution of events, and providing exceptional customer service throughout the planning and execution process. The ideal candidate should possess strong organizational, communication, and interpersonal skills, coupled with a passion for creating magical events. Most importantly, you will need a friendly attitude, an outgoing personality, excellent sales skills, and a desire to imagine and curate unforgettable events, while always maintaining The Chanler’s brand. Key Responsibilities: Your responsibilities frequently include, but are not limited to: * Manage the catering sales process from beginning to end, including booking, planning, budgeting, billing, and execution. * Develop and maintain relationships with vendors and suppliers. * Communicate with vendors to confirm details and ensure that all necessary arrangements are in plac.e * Ensure customer satisfaction through excellent communication and service. * Collaborate with other departments, such as culinary and operations, to ensure seamless execution of events. * Have a passion for creating memorable and magical wedding experiences for clients. * Meet with couples to discuss their vision for their wedding * Create and manage a timeline for every event * Attend meetings, plan tastings with couples and vendors, as needed * Assist with the setup and breakdown of all events and work along with operations to ensure the venue is in pristine condition pre-/post post-events * Possess In-depth knowledge of wedding trends, traditions, and etiquette * Be creative and detail-oriented with an eye for design and aesthetics * Customizing menus and experiences can upgrade and upsell every event * Ability to work under pressure and adapt to changing circumstances * Familiarity with event planning software and tools, Tripleseat, Excel, etc., is a plus * Monitor and analyze market trends and competition to stay ahead of the curve. * Attend industry events and networking opportunities to maintain visibility and establish new contacts. * Conduct sales presentations, lead site tours, and negotiate contracts with clients. Required Skills / Abilities: * Excellent verbal and written communication skills. * Excellent interpersonal, negotiation, and conflict resolution skills. * Excellent organizational skills and attention to detail. * Excellent time management skills with a proven ability to meet deadlines. * Ability to prioritize tasks and to delegate them when appropriate. * Ability to act with integrity, professionalism, and confidentiality. * Ability to work well under pressure and adapt to last-minute changes. * Show creativity and the ability to think outside the box. * Flexibility to work evenings, weekends, and holidays as needed. * Capable of standing, sitting, or walking for extended periods. * Thorough knowledge of employment-related laws and regulations. * Hold a valid driver’s license and have access to a reliable vehicle. Education and Experience: * Have 2+ years of experience in event planning or a related field. * Reports directly to the Director of Sales. * Hospitality experience is preferable. * English-Spanish Bilingual preferred. Physical Requirements: * Prolonged periods of sitting at a desk and working on a computer. * Able to move, lift, carry, push, pull, and place objects weighing up to 25 pounds without assistance.
