Job Description

Mid-Michigan Ear, Nose and Throat, a partner of Align ENT + Allergy, is looking for a friendly, detail-oriented Medical Appointment Scheduler to join our team. In this role, you will be responsible for scheduling patient appointments, ensuring that our patients have a seamless experience from the initial booking to their scheduled visits. Your excellent communication skills and attention to detail will play a vital role in maintaining an efficient office workflow and enhancing patient satisfaction.

As a Medical Appointment Scheduler, you will interact with patients over the phone, guiding them through the scheduling process while addressing any questions or concerns they may have. You will also follow the guidance of our team of doctors, physician assistants, audiologists and occupational therapists to ensure that appointment times are optimized for both patients and providers.

Responsibilities

  • Schedule patient appointments accurately and efficiently using the electronic medical records and practice management systems.
  • Confirm appointments and follow up with patients as necessary for any changes or cancellations.
  • Contact new patients referred to us by an outside provider to schedule their referral appointment.
  • Provide excellent customer service by addressing patient inquiries, concerns, and providing relevant information about our services.
  • Utilize scheduling software and tools to maximize appointment availability and minimize wait times.
  • Coordinate with physicians and staff to ensure an organized flow of appointments.
  • Maintain patient records and ensure that all information is up to date and in compliance with regulatory standards.
  • Assist with administrative tasks as needed to support the overall operations of the practice.

Requirements

  • High school diploma or equivalent required; additional education in healthcare administration preferred.
  • Prior experience in a medical scheduling role or related administrative position preferred.
  • Exceptional organizational and multitasking skills to manage a high volume of appointments.
  • Strong communication skills, both verbal and written, with a focus on customer service.
  • Proficiency in using electronic medical records (EMR) systems and scheduling software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Attention to detail with a high degree of accuracy in scheduling and record-keeping.
  • Understanding of medical terminology and office procedures is a plus.
  • Reliable, punctual, and committed to maintaining patient confidentiality.
