Job Summary

Seeking a stellar Medical Office Assistant, to support the Executive Director who is also the lead midwife. The ideal candidate is organized, detail-oriented and passionate about reproductive health. We are looking for someone who loves working on dynamic projects and is adept at managing shifting priorities to achieve our goals. Core Responsibilities

  • Manage schedule for providers and administrative team. Includes managing administrative meetings, patient appointments and tasks.
  • Perform a variety of administrative duties, such as taking minutes for team meetings, tracking action items, sending reminders when necessary.
  • Triaging and responding to or distributing incoming mail, email, voicemail, and faxes.
  • Prepare and send letters, invoices, faxes.
  • Track accounts.
  • Maintain office supplies, ensuring the cleanliness and organization of the workspace.
  • Collect and place orders pertaining to office needs.
  • Greet office visitors, answer and direct phone calls, field inquiries.
  • Performs other duties as assigned.
  • Communicate with respect and consideration for all members of our diverse community, including those who identify as LGBTQIA+, BIPOC, and diverse abilities.

Medical Assisting Responsibilities, as requested

  • Complete Office Visit Planning for OB/GYN, lactation and infant appointments.
  • Schedule tests, labs, or diagnostics when due.
  • Help maintain patient records.
  • Communicate with insurance companies/billers.
  • Place referrals.

Qualifications

  • High school graduate or equivalent required.
  • Medical terminology preferred.
  • Medical Assistant certification preferred.
  • Current driver’s license and reliable transportation.

Experience

  • Demonstrated success in office administration roles preferred.
  • Experience in reproductive/sexual health (OB, GYN, midwifery, infant/pedi, lactation, or family health preferred.

  • Technical Proficiency: In using electronic health records (EHR) systems, scheduling software, and other relevant technologies like Google Suite, Adobe Acrobat, and electronic fax.
  • Discretion and Confidentiality: To handle sensitive business and patient information with integrity.
  • Problem-Solving: Self-motivated and proactive to identify and solve problems to ensure smooth operations.

Working Environment:

  • Office environment, may include some remote work.
  • Requires use of computing equipment, telephone, multi-functioning printer and calculator.
  • Ability to travel to and from meetings, training sessions or other business-related events.
  • Occasional after hours and weekend work or overtime may be required.

Physical Demands:

  • Primarily working at a seated/standing desk. Occasionally mobile through the office with some light cleaning/organizing.
  • Exerts up to 15 lbs. of force occasionally.
