Position Overview :Feller & Wendt, LLC is seeking a highly motivated and experienced Production Manager to lead our Pre-Suit Settlement Department across three states. This position will oversee all aspects of the pre-suit case lifecycle, including case progression, demand preparation, settlement negotiations, team development and team management. The Production Manager will ensure the department consistently meets performance goals, optimizes processes, and delivers exceptional service to our clients while helping to ensure that all ethical and legal rules are strictly followed. Occasional travel required.

Key Responsibilities :

Pre-Suit Case Management Oversight

  • Oversee the entire pre-suit case lifecycle, ensuring timely and efficient progression of cases from initial intake through settlement negotiations.
  • Maintain an organized and up-to-date case management system using Filevine, ensuring all case files are thoroughly documented.
  • Collaborate with case managers and paralegals to collect and manage medical records, bills, and other relevant documents for pre-suit demands.
  • Proactively monitor case deadlines and ensure timely submission of demand packages.

Demand Preparation and Submission

  • Supervise the preparation of demand packages, ensuring thoroughness and accuracy before submission to insurance companies or responsible parties.
  • Review and approve demand letters, ensuring compliance with the firm’s standards and effective communication of case value.
  • Work with attorneys, case managers, and paralegals to ensure demands are supported by complete documentation.

Settlement Negotiation Support

  • Assist with settlement negotiations by ensuring cases are well-prepared and supporting documents are available for effective negotiations.
  • Collaborate with attorneys and insurance adjusters, providing clarification and additional information during settlement discussions.
  • Track settlement offers, counteroffers, and final settlements, ensuring that negotiation activities are documented and communicated to clients.

Process Improvement and Efficiency

  • Identify and implement workflow improvements to maximize efficiency and reduce delays in pre-suit case progression.
  • Explore automation, AI, and other technologies to streamline document management and demand preparation processes.
  • Establish best practices for pre-suit case management, aiming for faster resolution and consistent high-quality service.

Team Supervision and Development

  • Lead, manage, and mentor the pre-suit team, including case managers, demand writers, and support staff.
  • Delegate cases effectively, ensuring balanced workloads while maintaining high standards of case preparation and settlement.
  • Provide ongoing training and feedback to enhance team members’ case management, demand writing, and client communication skills.

Client Communication and Updates

  • Ensure timely and consistent communication with clients, providing updates on case status and expected settlement timelines.
  • Handle escalated client concerns, ensuring that expectations are managed effectively throughout the pre-suit process.
  • Document all client communication in the case management system or client portals for transparency and accountability.

Quality Assurance and Compliance

  • Ensure that all demand packages and settlement documentation meet the firm’s quality standards and comply with legal requirements.
  • Adhere to state and federal regulations, maintaining confidentiality and ethical standards in all pre-suit activities.
  • Ensure that the pre-suit team is fully compliant with the firm’s internal policies and procedures.

Performance Tracking and Reporting

  • Prepare and present regular performance reports, including case volume, settlement amounts, and team productivity.
  • Track and report on key performance indicators (KPIs) such as time to settlement, case volume, and settlement outcomes.
  • Provide leadership with insights and recommendations for optimizing department performance.

Vendor Coordination

  • Manage relationships with medical providers, investigators, and other third-party vendors, ensuring timely delivery of documents and services.
  • Negotiate vendor agreements to ensure cost-effective services that align with the department's needs.

Resource and Budget Management

  • Assist in managing the department's budget, ensuring efficient allocation of resources to meet production goals.
  • Ensure the team has access to the necessary tools, technology, and support to perform their duties effectively.

Qualifications :

  • An MBA in Business Administration, Legal Studies, or a related field preferred.
  • At least 5 years of experience in a legal or insurance environment, with a focus on pre-suit settlement and case management.
  • Strong leadership and team management experience, with the ability to mentor and motivate a diverse team.
  • Excellent communication and negotiation skills, both with clients and third-party vendors.
  • Detail-oriented with a commitment to maintaining high standards of quality and compliance.
  • Experience with case management software (Filevine or similar) and proficiency with the Microsoft Office Suite.
  • Ability to handle multiple priorities in a fast-paced environment while meeting deadlines.

Job Type: Full-time salaried

Pay: $150,000-$185,000 per year

Bonus potential: Up to $100,000 per year
